Terms and Conditions for N O U S Retreats
1.Introduction
By registering for and participating in our retreats, you agree to these Terms and Conditions, which govern payments, cancellations, participation guidelines and other key aspects. Our goal is to create a transformative, peaceful, safe and mindful environment for all.
2.Booking and Registration
2.1 A completed registration form and a non-refundable deposit are required to confirm your spot.
2.2 All bookings are subject to availability and will be confirmed via email after the receipt of a completed registration form and payment of the required deposit.
2.3 When we receive your booking, we will send you a registration form and instructions for payment. After all appropriate payments have been made, we will send you an email confirming receipt of the payment and a binding agreement will come into existence between you and us.
2.4 Participants are responsible for ensuring their physical and mental suitability for retreat activities. Please notify the N O U S team and consult a healthcare provider if you have concerns about your participation.
3.Payment Terms
3.1 Deposit: A non-refundable 25% deposit is required to secure your booking.
3.2 Balance Payment: The remaining balance must be paid no later than 4 weeks before the retreat start date.
3.3 Flexible payment plans are available upon request. Contact us for more information and to set up your flexible payment plan.
3.4 Late payments may result in cancellation of your booking and forfeiture of payments already made.
4.Cancellation Policy
4.1 Participant Cancellations:
Cancellations made more than 8 weeks before the retreat start date are eligible for a refund, minus the deposit.
Cancellations within 8 weeks of the retreat start date are non-refundable unless a replacement participant is found or the booking is transferred to another person.
Participants may transfer their booking to a future retreat if arranged and approved at least 8 weeks in advance.
4.2 Organizer Cancellations:
If we cancel the retreat for any reason, you will receive a full refund, including your deposit. However, as organisers we are not responsible for additional costs incurred, such as travel expenses.
5.Participation Requirements
5.1 Participants must be 18 years or older unless specified otherwise in the retreat description.
5.2 Participants are required to disclose any medical conditions, allergies, or dietary needs at the time of registration.
5.3 We reserve the right to refuse participation to anyone who may pose a risk to themselves or others.
5.4 We reserve the right to refuse participation if health or other concerns arise.
5.5 Participants must complete a registration form and agree to the NO U S retreat guidelines (see section 9).
6.Health and Safety
6.1 Participants are required to disclose any pre-existing medical conditions, disabilities, accessibility needs, allergies, or special dietary needs at the time of registration. We are committed to fostering an inclusive environment and ensuring retreats are accessible to people with disabilities or specific needs.
6.2 Participants are responsible for their own health and well-being during the retreat.
6.3 Participants are responsible for notifying facilitators of any physical, emotional, or psychological conditions that may affect their participation in the retreat. While facilitators strive to create a safe and supportive environment, self-responsibility is key.
6.4 We recommend obtaining travel and health insurance to cover potential emergencies, including cancellations, medical needs, or trip interruptions.
6.5 While our staff ensures a safe environment, participants are advised to notify us immediately if they encounter health concerns during the retreat.
6.6 We cannot accommodate specific medical care.
6.7 Retreat staff are trained to ensure safety but are not medical professionals. Participants should maintain prescribed treatments and carry necessary medications.
7.Retreat Itinerary and Experience
7.1 Included Services:
Accommodation as per your chosen package (shared or single occupancy).
Daily meals and snacks as specified (vegetarian/vegan options available).
Circles, group sessions, individual and collective practices (including Yoga, mindfulness and meditation sessions, activities in nature and other guided activities.)
7.2 Exclusions:
Travel to and from the retreat location.
Personal items, souvenirs, or offsite activities not organised by the retreat team.
7.3 The retreat schedule is subject to adjustments based on group needs, weather, or unforeseen circumstances.
7.4 Respect for group dynamics, co-creation principles, and community engagement is essential.
8. Code of Conduct
8.1 Respect for others is essential. Harassment or discrimination will result in immediate removal from the retreat without refund.
8.2 Photography or recording of sessions is not allowed unless explicitly permitted.
8.3 Participants are expected to respect the community atmosphere, including the retreat space, staff, and fellow attendees.
8.4 Bringing and using alcohol and recreational drugs is strictly prohibited.
9.N O U S Retreat Guidelines
9.1 Digital Detox: To foster a focused and immersive environment, participants are invited to leave their electronic devices securely stored with retreat organisers at the start of the retreat. Participants who keep their devices with them are required to limit the use of electronic devices to emergencies only, only in the privacy of their rooms, without disturbing others and only during designated time slots if possible. Emergency contacts will be made available to loved ones through retreat organizers.
9.2 Silence and Reflection Periods (Restorative Silence), including 24H silence: During designated periods of silence (e.g., 24-hour restorative silence), all participants agree to refrain from verbal communication and the use of electronic devices. This practice aims to deepen self-reflection and mindfulness. During the 24H restorative silence, electronic devices will be securely stored by retreat organisers.
9.3 Honouring Emotional and Physical Well-Being: Participants are encouraged to fully embrace the spectrum of their emotions during the retreat. Facilitators will hold a safe space for emotional processing, and activities may include expressive art, dance, guided reflections, and supportive group sessions.
9.4 Community and Co-Creation: This retreat operates on principles of shared responsibility and co-creation. Participants are expected to contribute to the collective experience by engaging in group tasks such as meal preparation, tidying common areas, or facilitating group activities aligned with their talents.
9.5 Environmental Responsibility: Participants are required to engage in practices that minimize environmental impact during the retreat. This includes the responsible use of resources such as water and electricity, adherence to waste segregation protocols.
9.6 Cultural and Historical Acknowledgment: Participants are encouraged to respect and honor the cultural and historical significance of the land where the retreat takes place. Retreat activities may include acknowledgment rituals or ceremonies, which participants are invited to engage in with openness and gratitude.
10.Privacy and Confidentiality
10.1 Any personal information collected during registration is used solely for retreat purposes and will not be shared with third parties.
10.2 To protect participant privacy and maintain the retreat's immersive atmosphere, no photography, audio, or video recordings are permitted during activities unless explicitly authorized by the guides and other participants.
10.3 Post-retreat, participants may share their reflections without disclosing others' experiences.
11.Force Majeure
In the event of unforeseen circumstances beyond our control (e.g., natural disasters, political instability, pandemics), we reserve the right to cancel, modify, or postpone the retreat. Refunds will be issued in accordance with our cancellation policy, excluding non-recoverable expenses.
12.Liability
12.1 We are not liable for personal injury, accidents, illness, property loss, or other liabilities incurred during the retreat, unless caused by gross negligence on our part.
12.2 Participants must have adequate insurance covering health, travel, cancellations and emergencies.
